What information is collected

Voluntarily shared personal information: we collect information you provide directly, including your name, telephone number, email address, job and related information, when you contact us, request a demo, download a resource, or register your organisation for Ticku.

Automated non-personal information: when you visit this website we collect the IP address of the device you use to connect to the internet, your operating system, the site you came from, the time and duration of your visit, and the pages you viewed.

Service data: when your organisation uses Ticku, the platform processes the tickets, comments, attachments, email messages and user records your organisation puts into it. That data belongs to your organisation and is processed on its instructions.

Legal basis for processing

We process personal data on the following bases: consent, where you explicitly agree to a processing activity; legitimate interests, for improving our services, security and business operations; contract performance, where processing is necessary to deliver the services; and legal compliance, to meet regulatory and legal obligations.

How we use your information

To provide and improve our services, to communicate with you about our products, to keep the website and platform secure and prevent fraud, to comply with legal obligations, to analyse website performance, and to pursue legitimate business interests. We process your information only where we have a valid legal basis to do so.

Cookies and analytics

This website uses essential cookies necessary for it to function, and analytics cookies that help us understand how the site is used. Analytics cookies are not set unless you accept them, and nothing is loaded from an analytics provider before you do. You can change your choice at any time using the Cookie Settings link in the footer, or through your browser settings.

Data retention

We retain personal data only for as long as necessary for the purposes described here. Contact information is retained for three years after last contact, website analytics data for 26 months, cookie consent records for one year, and communication records for two years. Service data is retained for the life of your organisation tenant; after termination there is an export window, after which the tenant is deleted.

Data security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction. This includes encryption of data in transit and at rest, access controls, regular security assessments, and staff training on data protection. Mailbox credentials connected to Ticku are encrypted at rest. No method of transmission over the internet is completely secure.

Tenant isolation

Ticku is shared multi-tenant software. Each customer organisation is a separate tenant, and data is isolated per tenant by an isolation layer that prevents cross-tenant access from application code.

Third parties

We may receive limited information from third-party services we integrate with, including analytics and email service providers. We do not purchase or obtain personal data from data brokers or marketing companies. Where Ticku connects to a mailbox on your instruction, it accesses that mailbox only to the extent needed to create and reply to tickets.

Your rights

Subject to applicable law, you have the right to access copies of your personal data, to have inaccurate data corrected, to request erasure, to restrict processing, to receive your data in a structured format, to object to processing based on legitimate interests, and to withdraw consent at any time.

Changes to this policy

We may update this policy to reflect changes in our practices or legal requirements. Material changes will be published on this page with an updated date, and where the law requires it we will give additional notice.
